We are registered with the UK Information Commissioner's Office (ICO); registration reference: [to be added once registration completes].What personal data we collectWhen you buy a subscription, we collect your name, email address, and billing/delivery address, handled directly by our payment processor, Stripe.When you tell us who your card or gift is for, we collect the recipient's name, postal address, the occasion, an event date or date of birth (as applicable), any personal message you want included. The date of birth is used only to select an age-appropriate card design.How we collect itWe collect your own details when you check out through our Stripe-powered payment page. We collect the recipient's details separately, when you complete our online form after your purchase — once for each card or gift you've bought.Why we use your dataWe use your data to take your payment and confirm your order, work out who each card or gift should go to and when, produce and send your cards and gifts on the schedule you've paid for, and keep the records we need for accounting and tax.Our legal basis for most of this is that it's necessary to perform the contract we have with you. Where we keep records for accounting, our legal basis is a legal obligation. Where we use data for internal administration (such as tracking order status), our legal basis is legitimate interest — we don't use your data beyond running the business relationship you've chosen.Who we share your data withWe share data with the service providers who help us run Always Sent: Stripe (payment processing), Airtable (order and fulfilment record-keeping), Tally (collecting your card/gift form submissions), and Google/Gmail (sending you order and confirmation emails).We also use printing and florist fulfilment suppliers to produce and post your cards or flowers. We may use more than one such supplier, chosen by location or product, and each is given only the recipient's name, address, occasion, and message needed to prepare and dispatch that specific order.We don't sell your data, and we don't share it with anyone else for their own marketing purposes.International transfersSome of our service providers (Stripe, Airtable, Tally, and Google) are based in, or transfer data to, the United States. Where this happens, they do so under legally recognised safeguards, such as the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, or their own equivalent certifications. By submitting these details, you confirm you have the right to share this information with us — for example, because the recipient is a family member, friend, or someone you know well enough to send a gift to.If the recipient is a child, we only use the details you provide to select an appropriate card, and we don't otherwise use children's data for any other purpose.CookiesOur website itself doesn't set any cookies. It uses Google Fonts to display text, which loads directly from Google's servers and shares your IP address with Google when the page loads, and it embeds Stripe's payment widget so you can subscribe. Stripe's widget may set cookies on Stripe's own domain, used only to prevent fraud on your payment — these are covered by Stripe's own cookie policy, are essential to processing your payment, and don't require separate consent.How to contact us or complainIf you have any questions, or want to exercise any of your rights, email us at [email protected]. Who we are
Always Sent (operated by James McKenzie, trading as a sole trader) sells annual card and gift subscriptions through www.alwayssent.co.uk. You can contact us at [email protected]. These terms apply to every order you place with us; how we handle your personal data is covered separately in our Privacy Notice.Our contract with you
When you place an order through our website, you're making an offer to buy a subscription on these terms. We accept that offer, and a contract is formed, when we send you an order confirmation email. If we're unable to accept your order for any reason (for example, a pricing error or a payment issue), we'll let you know and won't charge you.Our products
We offer three annual subscription tiers: Essential (a greeting card sent once a year), Extra (letterbox flowers and a greeting card sent once a year), and Premium (a bouquet and a greeting card sent once a year). Each checkout is for a single tier, with the quantity adjustable if you'd like to send more than one card or gift. Product images and descriptions on our website are for illustration — actual cards and flowers may vary.Prices and payment
All prices are shown in GBP and are paid annually through our payment processor, Stripe. Your subscription renews automatically each year at the then-current price unless you cancel it beforehand; a price change only applies from your next renewal onward, never to a year you've already paid for. Discount codes are applied at checkout and can't be added retrospectively.Providing accurate information
After you order, we'll ask you to complete a short form telling us who each card or gift is for, their address, the occasion, and any message you'd like included. You're responsible for making sure these details are correct and submitted in good time — we can't guarantee an order will arrive by a specific date if the form is completed close to, or after, the occasion it's for. If you spot a mistake after submitting, contact us as soon as possible and we'll do our best to correct it before your order is printed and sent.Your right to cancel
As a consumer buying at a distance, you normally have a 14-day cooling-off period after you order, during which you can cancel for any reason and get a full refund. UK law also carries an exception for goods that are made to your specification or clearly personalised, which is relevant here since your cards and gifts are personalised to whoever you're sending them to.
If you cancel after 14 days or after an item has been personalised for you, you may no longer be eligible for cancellation.Cancelling your ongoing subscription
You can cancel future renewals at any time by contacting us at [email protected]; cancelling stops the subscription from renewing again but doesn't refund the year you've already paid for.
If we can't fulfil your order
Occasionally a specific card design or floral product may be unavailable — for example, if a supplier is temporarily out of stock. If this happens, we'll contact you to offer a reasonable substitute or a full refund for that order.Delivery
We only deliver within the UK, using Royal Mail or a courier depending on the product. We aim to time each dispatch to arrive around the occasion you've told us about, but we can't guarantee an exact delivery date — please allow enough time when submitting your order details, especially for time-sensitive occasions.If something's wrong with your order
If your card or gift arrives damaged, faulty, or different from what you ordered, you have statutory rights under the Consumer Rights Act 2015. Contact us at [email protected] as soon as possible, ideally with a photo of the problem, and we'll put it right — normally by sending a replacement or issuing a refund.Our liability
We're responsible for loss or damage you suffer that's a foreseeable result of us breaking this contract or failing to use reasonable care and skill, but we're not responsible for loss that wasn't foreseeable to both of us when the contract was formed. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't legally be limited or excluded.Changes to these terms
We may update these terms from time to time, for example to reflect changes in the law or how we run Always Sent. Any changes apply to orders placed after the update — they don't affect an order you've already placed.Governing law and complaints
